Reminding a client that a service is due again

Updated 10 September 2026·2 min read

Set the interval once per service, and Callout gets in touch when it comes round.

Repeat work is the cheapest work there is, and the only reason it gets missed is that nobody remembers to ask.

Setting it up

Every service has a Remind them it is due again setting, in Settings, Services and prices. Never, monthly, every few months, yearly, up to two years.

Set it per service, because they are not the same:

  • An MOT is a year, to the day, by law
  • A boiler service is a year
  • A valet is whatever you think is right for your clients, and that might be monthly for a regular or every six months for somebody who wants it smart for the summer

This is your call rather than ours, which is why there is no clever default doing it for you.

What happens

Three weeks before it comes round, a reminder appears on that customer's page. You can edit it, mark it done, or delete it before it goes anywhere.

On the due date it sends: a WhatsApp if that conversation is still open, otherwise an email. It reads like you, asks rather than instructs, and carries your booking link so they can just book.

What it will not do

  • It will not tell somebody twice. Once a reminder has gone, it is done.
  • It will not chase somebody already booked in. If they have a job in the diary for that service, they hear nothing.
  • It will not stack up. One open reminder per customer per service, however many times they have had it done.

Reminders you write yourself

You can add your own on any customer's page, for anything: "said the front tyres were getting low", due in a month. Same list, same sending.

Reminders you write are on Run it. The automatic ones are on Grow it. Neither is on Free, because a reminder is a message and messages cost.
