Finding a customer, and what their page tells you

Updated 10 September 2026·2 min read

Everyone who has ever booked you, in one list, with their whole history on one page.

Customers is everyone who has ever booked you or asked for a quote. You do not add anybody: they appear the first time they get in touch.

Finding somebody

Search by name, phone number, address, a tag you gave them, or the trade field you collect. If you are a mechanic, that means you can search a registration, which is usually how you remember a car anyway.

Phone numbers match however they were typed, so 07700 900311 finds somebody stored as +44 7700 900311.

Their page

One page for one person: their details, tags, your private notes, any reminders, and a single list of everything that has happened. Jobs, payments and messages together, newest first, so "when did they last pay me" is a question you can answer by scrolling.

Notes and tags are on every plan. They are yours, the client never sees them, and awkward parking is exactly the sort of thing worth writing down.

How Callout decides two bookings are the same person

By phone number first, then email, and never by name. Two people called Dave Smith are two customers, because they are.

The other way round, the same person with a new number looks like somebody new, and Callout will not guess otherwise. If you spot a duplicate, open one of them and use Same person as somebody else on your list? at the bottom. Their jobs, quotes and reminders all move across.

That is deliberately a decision you make. Nothing merges two customers automatically, because getting that wrong means showing one person another person's history.

What is on the paid plans

The list, the history, search, notes and tags are on every plan, including Free. Segments (new, repeat, gone quiet), what somebody is worth and their last job date are on Run it. Where a client came from, and top client flagging, are on Grow it.
